This Privacy Policy explains how Jupsal Systems (Pty) Ltd, trading as Stockmate (“Stockmate”, “we”, “us” or “our”), collects, uses, stores, protects and shares information when you use our website, reporting platform, mobile applications, devices, support services and related services.
Stockmate provides stock counting, inventory reporting and related integration services for bars, restaurants, hospitality businesses and similar customers.
By using our services, you agree to the collection and use of information as described in this Privacy Policy.

The information we collect depends on how you use Stockmate.
When a customer account or user account is created on the Stockmate reporting platform, we may collect information such as:
User accounts are created and managed through the Stockmate web reporting platform or by authorised Stockmate staff. The Stockmate mobile app does not create user accounts.
When customers use Stockmate products and services, we collect and process operational inventory data, which may include:
This information is used to provide inventory reporting, stocktake history, customer dashboards, support, integrations and related services.
The Stockmate mobile app is used by authorised Stockmate customers and staff to capture inventory counts and synchronise those counts with the Stockmate reporting system.
Users log in using an email address and password issued through the Stockmate reporting platform. The password is sent to the Stockmate server for authentication and is not stored by the mobile app. After a successful login, the app receives an authentication token which is stored on the device and used to communicate securely with the Stockmate server.
The mobile app stores operational data locally on the device so that users can continue working when a connection is unavailable. This may include customer or outlet context, product names, barcodes, item codes, unit and conversion information, stock quantities, entered and calculated count values, stock areas, count sessions, count notes, count dates and times, synchronisation status or errors, barcode print sheets and related inventory information. Queued counts are synchronised to the Stockmate server when a connection is available.
The app also stores settings and technical context needed to operate the service, including a generated installation identifier, selected customer, device registration details, catalogue synchronisation state and display preferences. Logging out removes the authentication token and active customer context, but locally queued counts and downloaded inventory data may remain on the device so that queued work is not lost. Removing the app or clearing its app data removes this locally stored information, subject to the device operating system's behaviour.
The mobile app does not collect or store identity numbers, payment card information or banking details as part of its inventory-counting functions.
The mobile app is not directly involved in point-of-sale integrations. Any POS integrations, item matching, reporting or data processing related to POS systems are handled on the Stockmate server.
We may collect technical information necessary to operate, secure, troubleshoot and improve our services, including:
This information is used for security, support, service reliability, troubleshooting and product improvement.
Where the mobile app uses the device camera for barcode scanning, camera access is used only to scan barcodes or product codes as part of the inventory counting process.
The current Stockmate mobile app does not collect or store photos or videos and does not request access to location, microphone, contacts or push notifications. If this changes for a future feature, the app and this policy will be updated as appropriate.
The reporting platform uses essential cookies or similar browser storage for functions such as sessions, authentication, security and interface preferences. Disabling essential cookies may prevent parts of the platform from working correctly.
When you visit our website or reporting platform, server and security logs may record information such as pages or endpoints requested, browser information, device information, IP address and request timing. Stockmate does not currently use advertising or behavioural analytics trackers in the reporting platform.
The reporting platform loads web fonts through Bunny Fonts, a privacy-focused, zero-logging and GDPR-compliant font delivery service. Requests for those font files are made directly from your browser to Bunny Fonts.

Some Stockmate customers may choose to connect Stockmate to supported point-of-sale systems.
Where a POS integration is enabled, integration processing is handled on the Stockmate server. The Stockmate mobile app is not directly involved in POS integrations and does not communicate directly with POS providers.
POS-related data may include item descriptions, item codes, barcodes, categories, stock count data and related business information needed to provide the integration.
Stockmate only processes POS integration data where authorised by the customer and where required to provide the integration service.
We do not sell personal information.
We may share or process information with trusted service providers where necessary to operate our services. These may include providers for:
These service providers are only permitted to process information as needed to provide services to Stockmate or our customers.
We may also disclose information where required by law, regulation, legal process, tax requirements, accounting obligations or to protect the rights, property or safety of Stockmate, our customers, users or others.
We take reasonable technical and organisational measures to protect information against unauthorised access, loss, misuse, alteration or disclosure.
These measures may include access controls, authentication, secure server infrastructure, encrypted communication where appropriate, monitoring, backups and internal access restrictions.
No system can be guaranteed to be completely secure. If we become aware of a security incident that materially affects personal information, we will take appropriate steps as required by applicable law.
We retain information for as long as reasonably necessary to provide our services, support customers, maintain business records, comply with legal and accounting obligations, resolve disputes, enforce agreements and protect our systems.
Inventory and reporting data may be retained for historical reporting, support, audit and operational purposes unless deleted or anonymised in accordance with an authorised customer request or our retention practices.
Where information is no longer required, we may delete, anonymise or archive it in accordance with our operational, legal and security requirements.
Stockmate user accounts are created and managed through the Stockmate web reporting platform or by authorised Stockmate staff. The mobile app does not create user accounts.
Users or customer administrators may request deletion of an account or associated data by contacting Stockmate at info@stock-mate.co.za.
Where legally and operationally possible, Stockmate will delete or anonymise the relevant account information and associated data. Certain records may be retained where required for legal, accounting, tax, billing, security, support or legitimate business purposes.

Our website, platform or communications may contain links to third-party websites or services. We are not responsible for the privacy practices, content or security of third-party websites or services.
Where customers authorise integrations with third-party systems, such as POS systems, those third parties may process information under their own terms and privacy policies.
We may update this Privacy Policy from time to time. The updated version will be published on our website with a revised “Last updated” date.
Continued use of Stockmate services after an update means that the updated Privacy Policy applies.
